We are seeking an experienced and highly capable Executive Assistant to support a boutique consulting firm, working closely with two senior Partners in a professional services environment. This is a trusted, hands‑on role for someone who enjoys operating at the centre of a fast‑moving practice - protecting partner time, managing workflow, and ensuring polished, compliant and well‑run projects at all times.
About the Role
The role combines executive support, project and compliance administration, with a strong emphasis on judgement, organisation and professionalism.
You will be a key point of contact for senior executives, managing high volumes of inbound queries in a professional setting.
The role:
- Manage high volumes of external stakeholder engagement, acting as gatekeeper
- Coordinate information sessions
- Using databases to manage correspondence and follow‑ups
- Set clear expectations and hold boundaries with external stakeholders
- Prepare proposals and manage DocuSign approvals, setting up projects in internal systems
- Manage contracts and compliance steps, maintaining accurate audit-ready records
- Complex diary and meeting coordination
- Proposal formatting and document preparation
- Expenses and limited travel arrangements
- Managing secure portals and uploads
The successful candidate will bring:
- Experience in a professional services environment,
- Confidence supporting senior executives (CEO / C‑suite / Board‑level)
- Strong judgement, attention to detail and process discipline
- A calm, mature and highly organised working style
- The ability to work independently and manage competing priorities
Highly regarded:
- Background in consulting or project EA roles or even recruitment
- Exposure to compliance‑heavy environments
Working Arrangements
- Hybrid role, with a preference for 3 days per week in the Melbourne office
